Thank you everyone for the great advice! Especially Danni, thank you for the detailed tip about cash handling, now I have a better idea. 

Yes, theft is a concern to me because I've heard many doctors complaining about theft problem and I can't be in the clinic.  I've been doing hospital medicine billing for my husband which is pretty easy, so I don't know what to expect or what should be done properly.  Any more tips on what I should be doing on daily basis?

There is no 100% way to prevent theft, but with more people using check cards for everything, its not a big concern for the providers that I work with. You have to do audits on your accounts. If a check in person collects a $30.00 cash copay,and does not post in the system, it will appear that the client did not pay. If they adjust off, it will show in the system. With most Web based software you can track all movements via the initials in the system. My opinion is if you don't trust your staff, you don't need them there.

Hi,

I am just wondering when is the time to check patient's eligibility, copay, and co insurance? is it when the patient is waiting in the office or ask the patient about their insurance information when they make appointments?  Also, how do I keep track of the cash inflow on daily basis? I am not the one that sits in the office and the receptionist will take cash.  Any advice is greatly appreciated. 

Verify PRIOR to the visit. You should be able to print off the next week's schedule to verify the appointments. Add ons should be done ASAP
You should be be able to see what is posted in the system if you have a web based program to log in to run the report. Are you concerned about theft??
